Front Desk Manager

Location:  Madison, Connecticut

Summary: The Front Desk Manager is responsible for overseeing the front desk and providing support to Guest Services and Advancement. This position is accountable to the Director of Mission Integration and Hospitality.


High School/2 year college degree, with hospitality and general business  experience, basic knowledge of computer skills, and the ability to work under pressure during retreat season. Effective oral communication skills when answering the phone.


  • Contributes to the creation of a welcoming, compassionate and caring environment for
    all colleagues and guests of Mercy by the Sea.
  • Works with Director of Mission Integration & Hospitality to train volunteers.
  • Secure a replacement volunteer when a volunteer requests a day off.
  • Oversee the Volunteer Procedures Binder assuring that it is up-to-date for the front desk volunteers.
  • Assure that a copy of all up-coming program flyers are in the Volunteer Procedures Binder
  • Every Friday print the weekly Constant Contact; insert prices on it and leave this copy for volunteers at the front desk.
  • Make sure that the Mercy by the Sea telephone lists are up to date for volunteers.
  • Provide volunteers trained on inputting emails into constant contact mailing list with email lists from programs run over the weekend. These are either obtained from Guest Services or the Director of Communications.  Ideally this needs to be completed before our newsletter email goes out on Thursday. This inputting will need to be done by the Front Desk Manager if a volunteer is unavailable. A volunteer will eventually be asked
    to send out a ‘thank you for coming’ email in constant contact.
  • Assists Director of Advancement with printing and mailing of donation thank you letters.

Front Desk Support for Guest Services: 

  • Print off the online registrations from our website.
  • Assemble the program packets for the presenters.
  • Assemble the Directed Retreat packets for the directors.
  • Answer phone messages concerning availability of program and directed retreat registrations.
  • Take the credit card information, by phone, for payments of programs, retreats, etc…
  • Assists with the assemble of papers for hosted groups arrival.
  • Copy forms as needed.
  • Act as liaison between guests and housekeeping/maintenance.
  • Conduct building and grounds tours when people stop in and request these.
  • Assist additional staff members with clerical projects as needed.
